Job Description:
- Presentation of the company as service-oriented organization
- Reception of clients and visitors & overall responsibility for presentation of the entire reception area
- Managing the correspondence and communications of the organization such as phone calls, post and emails
- Deal / Cooperate with the German and Singapore Marketing Team for getting direction of the corporate identity. (CI)
- Administration of information brochures, name cards, banners and other promotional materials
- Create clients and projects in Zoho
- Issue invoices and credit notes and send invoice reminders to unpaid clients
- Drafting Letter of Engagement (LOE), Conflict Check, Audit confirmation letter / email etc.
- Set up IT infrastructure for a new joiner (Printer ID, email signatures, coordinate with IT,..)
- Train new joiner regarding outlook, Zoho, how to record timesheet, expense claims, …
- Record timesheets for Accounting team in Minutedock
- Scheduling of meetings and appointments within the company
- Order office stationery, supplies, stationary, pantry and IT equipments
- Finding Vendors, suppliers
- Organize, store and print company documents as needed
- Organize team lunch, dinner, company party, company event, travel, and transportation bookings
- Operation and basic troubleshooting of office equipment like printers, computers, light bulbs, etc.
